How we use collected information
Avanti Events may collect and use Users personal information for the following purposes:
- To improve customer service
Information you provide helps us respond to your customer service requests and support needs more efficiently. - To send periodic emails
We may use the email address to send User information and updates about their booking. It may also be used to respond to their inquiries, questions, and/or other requests.
Your booking portal and planner
When you book Avanti Events, your booking has a private portal and planner. It keeps your names and contact details, the names of your wedding party, your answers in the planner and your songs. We keep them to carry out your booking.
This is held in a database on our server, and Microsoft 365 holds the emails we send you. When you book a wedding, your two full names are also sent once to Anthropic's Claude, an AI service, so it can suggest the surname for your wedding's name, which you can change.
One year after your event we delete the personal details in your planner (such as your wedding party's names and your notes) and your guests' names on song requests, and once you have no other booking with us still to come or less than a year past, your phone number and postal address. If your event is at your home, we delete its address in the same way, once no event there is still to come or less than a year past. We keep your name, your event's venue and package, your signed contract (with the address and email it was signed with) and your payment records for 6 years after the end of the tax year you paid in, for tax and contract records, and then delete them. We keep your email address so we can email you now and then; every such email has a link to unsubscribe, which deletes your email address from our records (except in your signed contract) straight away, or once your event is over if it is still to come, and otherwise it goes with your name. We keep your event's name (such as “The Smith Wedding”, without any first name in it once your name goes), its date and your music choices for good: your songs and what you wrote about them, song requests (with no guests' names) and your running order, for Dan's records to plan future events.
How we protect your information
We adopt appropriate data collection, storage and processing practices and security measures to protect against unauthorized access, alteration, disclosure or destruction of your personal information, username, password, transaction information and data stored on our Site.
Sharing your personal information
We do not sell, trade, or rent Users personal identification information to others. We may use third party service providers to help us operate our business and the Site or administer activities on our behalf. We may share your information with these third parties for those limited purposes provided that you have given us your permission: Microsoft 365, for our emails, and Anthropic, to suggest the name for your wedding from your two names when you book.
